Internal Audit
The procedure for an internal audit is:
1. Identify a 3rd party or a suitable employee (who has received the right training and is not responsible for the creation or maintenance of the event management system) to ensure objectivity and impartiality of the audit process
2. Schedule internal audits with the 3rd party or suitable employee at planned intervals at least once a year
3. The 3rd party or suitable employee should create an audit programme which includes: frequency, methods, responsibilities, planning requirements and reporting (taking into consideration the importance of the processes concerned and the results of previous audits)
4. During the audit process the 3rd party or suitable employee will review documentation, interview relevant people and if relevant review the processes applicable to the scope
5. During the audit process the 3rd party or suitable employee will:
Provide information on whether the management system conforms to the organisation’s own requirements for its event sustainability management system
Provide information on whether the management system conforms to the requirements of ISO 20121
Provide information on whether the management system is effectively implemented and maintained
Provide information on whether the management system is being effective in achieving the sustainable development policy, objectives and targets
Define audit criteria and scope for each audit
Ensure objectivity and impartiality throughout the audit process
Retain documented information as evidence of the implementation of the audit programme and audit results
6. Following the audit process the 3rd party or suitable employee will ensure that the results of the audits are reported to relevant management
7. This procedure will be implemented and reviewed annually during sustainability team workshop
